This includes communications sent through any contact form on our site (if present) and messages sent directly to our published email addresses. We use this information to respond and to keep a record of the conversation for quality and accountability.

We use cookies to remember cookie preferences and to support aggregated analytics. Cookie use is controlled through the cookie banner on the site. If you reject cookies, we will continue to provide core content, and your preference is stored so that the banner does not repeatedly interrupt your visit.

We also use analytics tooling to understand how visitors use the site in aggregate. Where used, the primary tool is Google Analytics 4 (GA4). We may also use a Meta Pixel in the future for measuring how visitors arrive at our site from ads, but we do not rely on it to provide the educational content.



5. Purposes of processing

We use personal data for a narrow set of purposes tied to operating an educational website. Specifically, we process data to:

  • Deliver the site by loading pages, maintaining security, and ensuring technical stability.
  • Respond to requests such as corrections, accessibility feedback, or questions about our editorial scope.
  • Improve the content by analyzing aggregated usage (which pages are most read, and where users typically exit).
  • Prevent fraud and misuse including automated abuse, denial-of-service attempts, and suspicious access patterns.
  • Comply with legal obligations where applicable, such as keeping records related to security incidents or regulatory requests.

We do not use your messages to create profiles about you, and we do not make decisions with legal or similarly significant effects solely through automated processing.


6. Retention periods

We keep personal data only as long as needed for the purposes described above, then delete or anonymize it. Our standard retention periods are:

Inquiries and messages

Form submissions and email correspondence: retained for up to 2 years after the last interaction, unless we need to keep them longer to resolve a dispute, comply with a legal obligation, or document a security incident.

If you ask us to delete a message thread, we will do so unless we must retain a copy for legal or security reasons. In those cases we will restrict access and keep only what is necessary.

Analytics and logs

Analytics data: retained for up to 14 months in our analytics tool configuration, after which it is deleted or aggregated.

Server and security logs: typically retained for 90 days for troubleshooting and abuse prevention, unless a longer period is required to investigate a security issue.

If we ever offer an email newsletter, we will clearly explain list retention on the sign-up form. A typical approach is: Email list: until you unsubscribe, then deleted within 30 days. At the moment, MapleLedger Guide does not require an account and does not operate a subscriber database as part of the core educational pages.


7. Sharing, processors, and “no sale” statement

We do not sell your personal data. We may share limited data with service providers that process information on our behalf (processors) to operate the website and communications. These providers are contractually required to protect data and use it only for the services they provide to us.

MapleLedger Guide is based in Canada. Our service providers may store or process data in Canada, the United States, or other jurisdictions where they operate. If personal data is transferred from the EEA/UK to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (SCCs) and, where relevant, additional measures recommended by regulators.

International transfers are relevant primarily for analytics and hosting infrastructure. We aim to choose vendors that provide transparent documentation about data residency and transfer safeguards.
